# Member Profiles

> Open one member to see their activity, contact details, household, groups, giving, and care in one place, and keep staff notes and tags on the record.

# Member Profiles

Every member has a profile page that brings together everything the church knows about that person. Use it to prepare for a visit, answer a question about someone's history, or leave a note for the next staff member who opens the record.

## Before You Start

* Sign in to your admin account and open **Church Management**.
* Profiles are opened from the **Members** list, from the search box in the header, or from a link another admin shares with you.
* Notes marked as visible to pastoral staff are only shown to admins whose role includes the **Pastoral Care** permission. See [Pastoral Care](/product/pastoral-care) for how roles are assigned.

## Open a Profile

1. Open **Church Management → Members**.
2. Click any row in the list, or press the view icon at the end of the row.
3. The address bar now holds a link to this member. Copy it to share the profile with another admin.

You can also press **Cmd+K** (Ctrl+K on Windows) anywhere in the dashboard, type the member's name, email, or phone number, and press Enter. See [Search and the Attention Bell](/product/search-and-attention).

## What the Profile Shows

The top of the page shows the member's photo, name, status (Active or Inactive), when they joined, and when they last signed in to the mobile app. Beneath it sit four quick numbers:

| Number           | What it means                                                            |
| ---------------- | ------------------------------------------------------------------------ |
| Attendance       | Services attended out of services recorded, over the last several weeks. |
| Giving this year | Completed gifts since 1 January in the church's currency.                |
| Groups & teams   | How many groups and serving teams the member belongs to.                 |
| Open follow-ups  | Follow-ups assigned to staff that are not yet done.                      |

The buttons in the header let you **Message** the member, **Add note**, **Assign follow-up**, or **Edit** their record.

### Activity timeline

The left column is one timeline of everything that has happened with this member, newest first. It joins:

* visits and visitor follow-ups,
* gifts,
* attendance,
* care cases,
* form responses,
* group and team changes,
* staff notes.

Use the filter chips above the timeline (**All**, **Visits**, **Care**, **Giving**, **Groups**, **Forms**, **Notes**) to narrow it, and **Show older activity** to load more.

### Sidebar

The right column summarises the record:

| Section          | What you see                                                                                                                           |
| ---------------- | -------------------------------------------------------------------------------------------------------------------------------------- |
| Tags             | Short labels such as "Hospitality team" or "Baptism interest".                                                                         |
| Contact          | Email, phone, and address. Fields the member has not provided say so.                                                                  |
| Household        | The household this member belongs to, with the other members in it. Households are managed under **Members → Directory → Households**. |
| Groups & serving | Community groups and serving teams, with the member's role.                                                                            |
| Giving           | This year's total, the last gift, the funds given to, and a link to statements.                                                        |
| Follow-ups       | Open follow-ups assigned to staff, with due date and owner.                                                                            |
| Care             | Open care cases with their next follow-up date and owner. Confidential cases show only that a confidential case exists.                |

## Add a Note

Notes are for things the church should remember about a person: a conversation after a service, a prayer request, a pastoral concern.

1. Open the member's profile and click **Add note**, or scroll to the note box at the top of the timeline.
2. Type the note.
3. Choose who can read it:
   * **Visible to all staff** — any admin who opens the profile.
   * **Visible to pastoral staff** — only admins whose role includes the Pastoral Care permission. This choice is offered only if your own role includes it.
4. Click **Save note**.

The note appears in the timeline with your name and the time. Anyone who can read a note can delete it with **Delete note**. Pastoral notes are invisible to staff without the Pastoral Care permission: they do not appear in the list or the timeline, and cannot be deleted by them. Notes are stored encrypted.

## Assign a Follow-up

A follow-up is something a staff member owes this person: a call after a hospital stay, a text about the baptism class, a visit.

1. Click **Assign follow-up** in the profile header.
2. Describe what needs to happen, and add details if the owner needs context.
3. Choose how (phone call, text message, email, in person), who owns it, and when it is due. The owner defaults to you.
4. Click **Assign**.

Open follow-ups are listed in the **Follow-ups** section of the sidebar with their due date, owner, and an overdue marker, and the header shows an **Open follow-ups** count. When it is done, click **Mark done**, write what happened, and confirm. The follow-up moves into the timeline as "Follow-up completed".

Member follow-ups also appear on the dashboard under **Follow-ups due today** and count toward the overdue follow-ups line in the attention bell. See [Dashboard and Internal Tools](/product/dashboard-and-internal-tools).

## Add or Remove Tags

Tags are quick labels that group people across the church. They also power the tag filter in the [Members directory](/product/members-directory).

1. In the **Tags** section of the sidebar, click **Add tag**.
2. Type the tag and press Enter. Tags are matched regardless of capitalisation, so "hospitality" and "Hospitality" are the same tag.
3. To remove a tag, click the × on it.

A member can carry up to 20 tags, and each tag can be up to 40 characters.

## Notes

* Edits to the member's own details (name, contact, birth date) still open the existing edit drawer. If your church requires approval for sensitive changes, edits made by the member in the mobile app appear as change requests under **Members → Directory → Change Requests**.
* The giving summary counts completed gifts only. Pledges are shown separately where they exist.
* Profiles only show members of your own church.
